The platform showed strong market potential and early real-world usage. However, its technical foundation had limitations that constrained growth. Gaps in automation and a non-scalable architecture made it increasingly challenging to reliably onboard new organizations and evolve core capabilities, highlighting concrete opportunities to improve the platform’s robustness and long-term scalability.


The company needed to accelerate development of strategic automation features, starting with document ingestion workflows that could:

  • Extract structured data from inbound documents using AI.

  • Validate and reconcile entities such as vendors and records.

  • Route items through configurable approval flows.


At the same time, they needed to modernize the platform, introduce production-ready AI automation, and establish scalable processes suitable for multiple customer environments.

Over a three-month engagement, Eureka Labs worked closely with the internal team to lead a deep platform transformation focused on enabling long-term scalability. The new platform included a modern multi-tenant architecture, a flexible automation framework, an AI and analytics layer, a modernized frontend, and strengthened engineering practices—including improved testing, observability, and platform security.


  1. Platform Refoundation & Multi-Tenant Architecture

We modernized the platform’s engineering foundation with automated CI/CD, migration to AWS ECS, proper environment separation, secure secrets management, improved local development, and a modular backend structure. A fully isolated multi-tenant architecture now allows one deployment to securely serve multiple organizations while lowering infrastructure costs.



  1. Comprehensive Automation Framework

The platform evolved into a flexible automation engine capable of supporting diverse, approval-driven workflows. The invoice ingestion system was redesigned into a reliable, end-to-end pipeline that processes incoming emails, extracts and validates data, resolves vendors, and routes each invoice through review and approval steps—with real-time updates for users.

We implemented an AI layer that goes beyond simple OCR:


  • Natural language search across invoices, vendors, payments, tasks, and purchase orders.

  • Hybrid deterministic + LLM parsing with confidence scoring.

  • A self-learning AI management system for vendor alias cleanup, configurable extraction rules, and few-shot learning to continuously improve extraction accuracy.

  • Analytics to track AI performance and ROI over time.

We moved the platform to a modern Vue 3 architecture with TypeScript, a domain-driven structure, and strong state management. The new stack added type-safe forms, enterprise-grade data grids, real-time connectivity, and fine-grained permission controls. It also introduced a visual workflow builder and interactive analytics, making the product more scalable, reliable, and user-friendly.

Introduced structured workflows in Jira, solid testing with pytest, integration and security tests, reliable test data, and automated quality checks. Security improvements include token-based authentication, tenant data isolation, and compliance safeguards. Partner enablement included documentation, hands-on training, and runbooks for ongoing operations and incident response.
